Step-by-step GrancoFlow guide

See how to get started on WhatsApp, send receipts, correct information, generate reports, use the portal, understand plans and solve common issues.

1. How to start

  • Send a first message to the official GrancoFlow WhatsApp.
  • Read the intro with the Free limits and the privacy policy link.
  • Reply YES to accept the free plan and create your personal account.
  • The account is tied to your WhatsApp number. No password needed.

2. How to send receipts and invoices

  • Send photos of receipts, invoices, proofs of payment or PDF files right in the chat.
  • A good photo shows the whole document, with the date, merchant and total readable.
  • Tilted photos, receipts in hand or on a table usually work if the text is clear.
  • If reading fails, send a sharper photo or get closer without cutting off the edges.

3. Reports through WhatsApp

  • Send reports to open the guided menu.
  • Choose today, this week, this month or a custom period.
  • The report can be a WhatsApp summary, an Excel spreadsheet or both, when available.
  • On Business, the master number can request workspace reports or a specific number’s report.

4. How to correct information

  • After the receipt summary, reply 1 to correct it.
  • Choose date, total, category or merchant.
  • Send only the new value requested, for example 25/04/2026 or 123.45.
  • The correction updates the record used in the portal and reports.

5. Free plan

  • Personal use, no workspace.
  • 6 photos or PDFs per day — unlimited voice and text.
  • Each photo or PDF counts as 1 upload.
  • Optional extra-uploads pack that kicks in automatically when the daily limit runs out.

6. Business Solo plan

  • For freelancers: 1 number with every Business feature.
  • Automatic scheduled reports with original receipts.
  • Custom logo on reports and the full dashboard.
  • Optional accountant seat.

7. Business plan

  • Workspace with a master number and regular numbers.
  • 50 files per day per user, no monthly cap for now.
  • Per-seat subscription, minimum of 2 seats.
  • Team dashboard, per-number reports and the workspace logo.

8. Master number

  • Manages the workspace, seats, linked numbers and the report logo.
  • Sees totals, receipts and reports for every number in the workspace.
  • Regular numbers only see their own receipts, totals and reports.
  • When the master requests another number’s data, that member is notified on WhatsApp.

9. Web portal

  • Go to Login, enter your WhatsApp and type the code received in the chat.
  • Use date and category filters and the receipt list in the dashboard.
  • Generate Excel reports from the portal whenever you need.
  • In the privacy area, remove receipts, reports or the account depending on your profile.

10. Payments

  • Business and Business Solo use a Stripe subscription.
  • Prices are shown in your country's currency: reais in Brazil, Canadian dollars in Canada and US dollars everywhere else.
  • The final amount, currency and available methods appear before confirmation.
  • Available methods depend on the Stripe account configuration and capabilities.

11. Privacy and data

  • You can delete receipts and reports from the portal.
  • Personal accounts can delete the account itself.
  • On Business, the master can delete workspace data according to the plan permissions.
  • Stored files are removed together with the records when deletion is confirmed.

12. Common issues

I didn’t receive the WhatsApp code

Check the number and country code and wait a few minutes. If you tried too many times, wait for the temporary block to expire.

The receipt wasn’t read correctly

Use the correction flow or send a clearer photo showing the full document.

PDF was not accepted

Check whether the file is corrupted and try sending it again. Each photo or PDF counts as 1 upload toward your plan limit.

Quota reached

Wait for the daily renewal, use an extra-uploads pack when available or consider moving to Business.

My number belongs to a workspace

Regular Business numbers can’t change the plan, seats or logo. Talk to the master number.

I can’t manage the workspace

Only the master number has access to the workspace settings and consolidated data.
